Golder has a new opportunity for an Executive Assistant to join our team and provide professional administrative support to the Chief Legal Officer, on a full time basis, in our Atlanta, GA office.
This role requires a professional who is self-directed, results-oriented, and comfortable with taking initiative and working independently as well as within the Legal team. As an experienced Executive Assistant, you will use your excellent communication skills to competently and confidentially interact with key business partners including senior personnel throughout the global organization, using your influencing skills where required. You must be flexible and exceedingly well organized with attention to detail.
Responsibilities of the role will include:
Administrative support for the Chief Legal Officer to include calendar management, email monitoring, domestic and international travel and expense reports
Internal/External Meeting Support to include meeting room reservations, calendar invites, hotel rooms, meeting room needs (food, beverage, and technology support), drafting agenda, minutes, and tracking/follow-up of action items
Support Chief Legal Officer in his role as Corporate Secretary: assist with processes for annual meeting, completion of meeting minutes, and drafting and maintaining corporate resolutions
Manage outside Counsel Invoice process to include, receiving, logging, coding, processing and tracking payments
Act as Global PRC Administrator by scheduling calls, taking meeting minutes, following up on approvals and filing/uploading documents
Act as Global ERM Administrator by scheduling calls and updating quarterly spreadsheets, PowerPoint slides and ERM report
Update Organizational charts and Email distribution lists as needed
Conduct research, compile data and prepare: internal communications, reports, memos, correspondence, PowerPoint presentations, spreadsheets, charts/flowcharts, etc..
Assist as needed to support the timely implementation of internal projects and initiatives
Coordinate responses to internal/external clients and other third-party inquiries
Assist with monitoring the Legal department budget and maintain file on department spending for budgetary purposes
Providing support to the global Legal team as needed
The successful candidate will have a background in:
Bachelor's Degree preferred
5 years of recent executive level administrative experience is required. Experience supporting Legal executives at a Global level is preferred. Supporting Corporate secretary a plus
Advanced skill level in the use of Microsoft Office Suite is required (Word, Excel, PowerPoint, Outlook, Visio). Experience using Secretariat or other corporate governance software a plus
Strong verbal and written communication skills
Advanced word-processing and editing skills
Exceptional organizational and planning skills
Detail-oriented with an emphasis on accuracy and quality of work is required
Ability to multi-task on a variety of administrative projects
Demonstrates a high level of confidentiality
Exhibits diplomacy, sound judgment and tact
Comfortable working independently with remote teams
