Golder Associates IMS Coordinator/Office Administrator in Richmond, Australia

We are currently looking for a National Coordinator and Office Administrator for a split role that reports to the Regional Integrated Management System Leader APAC & the Melbourne Business Support Manager (BSM). In this role you will be responsible for providing support in administration and the continual improvement of the Golder Associates Integrated Management System (GAIMS) based in the Melbourne office.

Key duties andresponsibilities include:

  • Assisting Project Managers with GAIMS requirements as required includingscheduling and conducting internal audits.

  • Administering non-conformancereporting database, including root cause analysis and ensuring relevant corrective and/or preventative actionsare recorded, followed up andclosed out in a timely manner;

  • Supporting training and awareness of GAIMS, including scheduling andrecording of GAIMS inductions for new employees and the Project ManagementOffice.

  • Supporting the Business Support Team by preparing for external auditsacross the region, and maintaining the non-conformance, audit and otherdatabases, document control, associated registers, registers of approvedappointments;

  • Supporting the National Subcontractor Coordinator in databaseadministration and providing leave coverage as required;

  • Administering team SharePointdatabase, including the upload of documents;

  • Supporting the ongoing maintenance of the integratedmanagement system; and

  • Overseeing data collection and recording for monthly, quarterly andannual reporting as well as distributing and actioning emails sent to the GAIMSgroup mailboxes.

Skills, Qualifications, andExperience

  • Attention to detail and accuracy, excellent interpersonal andcommunication skills and good time management and ability to multi-task are amust;

  • Ability to work efficiently, both autonomously and in a team environment;

  • Willingness to share ideas for continuous improvement and the ability toconduct internal audits will be highly regarded;

  • Proficiency in Microsoft Office suite and experience with MicrosoftSharePoint; and

  • Demonstrated experience in similar roles will be advantageous.
